Qualified Time Stamp

What is a time stamp?

A time stamp proves the existence of a document at a given time. A time stamp is attached to a document or file to prove without a doubt that the file existed in the given time.

We supply qualified time stamps from the accredited Czech authority PostSignum. The time stamps are legally valid within the whole European Union and comply with the international regulation RFC 3161, which defines requirements on qualified time stamps trustworthiness.

A qualified time stamp adds a guaranteed time mark entry to existing documents, data or other files.

How to use time stamps?

Simply. When you purchase the SecuStamp service you will receive time stamps that you can use with our mobile or desktop applications. You can also integrate the service with your exisitng systems using a web service.

The FormApps Mobile application, available for Google Android, Apple iOS, Windows 8 and Phone, will secure your documents for you on tablets and mobile phones.

What operating systems does the Long-Term Docs service run on?

Long-Term Docs can be operated on the operating systems Microsoft Server 2008 and 2012. The service then can be accessed and used from any device. All depends on settings for a given Long-Term Docs folder.

Can I use Long-Term Docs from my mobile phone?

Of course. When setting up your Long-Term Docs folder, you can scan the input channels available from mobile devices - for example, OneDrive or a mail account. Then you just use your telephone means for sending your document. The way you are used to.

How long does it take to process a document in Long-Term Docs?

It is completed either immediately or till next day. We do everything to have your document properly treated and archived. If a document is all right, its treatment is a matter of several seconds. In the contrary case, we must perform several operations, make sure that electronic signatures are valid and have not been revoked during the time immediately before signing. Such a document is then processed within 24 hours.

What are the server requirements for installing Long-Term Docs?

Most common HW configurations for server operating systems will work. It also depends on how many documents will be processed. The recommended configuration is here. If you are not sure, inform us about your expected amount of documents and we will be glad to assist you.

How does the trial version work?

You will receive the full service, enabling the treatment of 25 documents. This service will be functional for 14 days. When switching to the full version you do not have to change anything. Documents treated as part of the TRIAL mode will continue to be archived and maintained. All settings will remain valid.

Do you validate certificates from Asia as well?

We validate certificates stated in the European trust list. It includes more than 160 qualified certification authorities. You can find a detailed list of these authorities here.

Glossary of terms

Time stamp

A special type of electronic signature that unambiguously proves that a document existed at a certain date and since then no changes have been made. The signature of a qualified time stamp is not a certified identitfy, but rather a certified time (Software602 time stamps are generated based on time from official atomic clocks) . In this way, a qualified time stamp "protects" the document as a whole and any other identifying individual signatures that may be applied to it.


The property of a document that qualifies it to be used as legal evidence. This includes indisputability of origin (it is certain whose signature is applied to the document) and content integrity (it is certain that the document has not been changed since being signed).


In this case, the term refers to online storage where documents may be saved or archived, such as data center service providers like Google, Microsoft, etc.


A software component that allows an electronic signature to be attached to a document (see below). In order to be a recognized electronic signature (i.e. from recognized authorities) a qualified signature certificate must be used. These are issued by qualified certification authorities (see below) that are certified to verify the identity of the signature owner.
Certificates are valid only for limited periods of time. Certificate owners also have the option to invalidate their certificate at any time. Signatures from invalidated certificates are not valid. Therefore, if a signed document is not marked with a time stamp it will be impossible to determine whether the signature was attached before or after the expiry of the certificate. Hence time stamps are critical to determine a document’s validity or invalidity.

Digital continuity

Maintaining digital information in such a way that the information will continue to be usable and valid despite changes in technology.
Specifically, related to digital signatures and time stamps, digital continuity refers to the process by which one ensures that a new time stamp is applied to a document before the old one expires. If continuity is interrupted, it would not be possible to verify whether the signature was valid at the time of creation.

Electronic signature

A software component containing an electronic fingerprint (hash) that can be attached to an electronic document. By comparing the document and fingerprint one can determine if the document has not been modified. Electronic signatures also enable one to clearly identify its origin, by which certification authority it was created.

ETSI standards

Standards issued by the European Telecommunications Standards Association. These standards detail the methods and protocols for connecting electronic signatures and time stamps to different types of documents - PAdES, CAdES, XAdES formats.

ISO standards

Uniform international standards issued by the International Organization for Standardization (ISO) that have the same specifications and the same enforcement in all states that have chosen to accept them. Sofware602 products and services comply specifically with the standards ISO 19005-1:2005, ISO 19005-2:2011 and ISO 19005-3:2012.

Legal compliance

Fulfilling the requirements of laws, regulations and standards on the domestic and European level, which describe the rules, procedures and formats by which it can be determined that a document will be legally usable in the future.

Long-term archiving

The process of storing electronic documents so that they are verifiable, legally valid and readable at any time in the future.


Generally it can be of any data describing a document, such as title, creation date, keywords, etc. In the case of Long-Term Docs, the service reads the metadata that indicates a) whether the document has been changed or not, b) which certificate was used to create the signature and c) whether the signature was valid at the time of creation.


The official archiving version of the PDF format defined in ISO 19005-1:2005, ISO 19005-2:2011 and ISO 19005-3:2012. It is a more narrow definition of the PDF format that ensures that files saved in PDF/A (converted from other formats) can be opened without loss of information with any future versions of the software and independent of platform. The basic principle of the PDF/A is that all of the information needed for correctly display of the document is contained inside the file (for example, fonts, color definitions, etc.). All the metadata is in XMP format, the file is not encrypted or protected by passwords and does not contain any links to other external files.

Qualification certificate authority

A trusted company licensed to issue qualified certificates for electronic signatures (see above). When queried, it can definitively confirm who was the owner of the certificate used to connect the signature and whether the certificate is valid or whether it has been revoked.


Any location on a computer, server or in a data center where one stores digital documents. Generally, these tend to be structured locations with special security and search tools, however this is not a requirement.


The ability to unequivocally determine whether a document is authentic (who the originator is and whether any changes have been made). If a document loses verifiability it is very difficult to use as evidence in a legal context. ETSI standards (see above) require that all the information needed for future verification be applied directly to a document.

Service Certificate

This section allows you to register a certificate for accessing the portal services. After registering an Electronic license certificate, the relevant service will be activated, or a TSA Cartridge will be refilled according to the Electronic license certificate properties. If you register any other commercial certificate issued by a Czech accredited certification authority, it will be used for authentication instead when drawing time stamps.

Select the path to the file containing only the public certificate part (usually such file has the extension .cer or .der) and register it by the “Upload Certificate” button. If you are loading an Electronic license certificate, the relevant service will be activated after registration. If another commercial certificate is loaded, it will be automatically set for authentication. Use the “Delete Certificate” button to unregister.

Integration SDK/API

Software602 AdES Server allows integration of SecuStamp TSA Service into information systems. At the same time it provides an interface for ensuring long-term document validity in compliance with PAdES, XAdES and CAdES standards – Long-Term Docs.

It provides operations such as checking the validity of attached digital signatures, attaching the metadata needed for future authenticity validation, attaching digital signatures and time stamps, all in connection to Long-Term Docs portal services.

Time stamp standard

A time stamp issuing web service, (TSA Service), issues time stamps in compliance with standard protocol set by RFC 3161 specification. For users in the Czech republic, especially important is the principle of mutual recognition of trusted electronic signatures independent from the certification authority's and signature owner's country of residence. As noted in the statement by the Ministry of Interior of the Czech Republic, from this directive follows an obligation for all public authorities to recognize qualified certificates issued in other EU countries.

European Commission regulation on minimum requirements for document processing

which lays down the minimum requirements for the cross-border processing of documents signed electronically by competent authorities under Directive 2006/123/EC of the European Parliament and of the Council on services in the internal market.
